Planning an Educational Activity
High-quality educational activities begin with thoughtful planning. Educational planners, course authors, and program coordinators share responsibility for ensuring activities are designed to address identified learning needs and support improvements in professional practice, healthcare team performance, and patient outcomes.
Step 1: Complete the Activity Application
The activity application serves as the foundation of the educational planning process and is completed in EthosCE, the official platform for planning, managing, delivering, and evaluating educational activities.
- Resources: Activity Application
Step 2: Identify the Educational Need
Educational activities should address a documented professional practice gap, educational need, or opportunity for improvement.
The educational need should be supported by data, feedback, performance measures, quality initiatives, regulatory requirements, or other evidence demonstrating the need for education.
Step 3: Define Desired Outcomes
Determine what learners should know, demonstrate, or improve as a result of participating in the activity.
Desired outcomes should align with the identified educational need and support improvements in professional practice, healthcare team performance, or patient outcomes.
Step 4: Select the Activity Type
Choose the activity type and delivery format that best supports the identified educational need, target audience, and desired outcomes.
Activity type selection may impact planning requirements, review timelines, accreditation considerations, and documentation requirements.
Step 5: Build the Planning Team
Identify the individuals responsible for developing, implementing, and evaluating the educational activity, including educational planners, faculty, presenters, content reviewers, and program coordinators, as appropriate.
For activities seeking Interprofessional Continuing Education (IPCE) designation, planning teams should include representatives from two or more professions reflective of the intended learner audience.
Required Documentation:
- Disclosure of Financial Relationships and Speaker Agreement
- Faculty Biography Form
- Presentation Content Review and Attestation Form
Additional Documentation (If Applicable)
Additional documentation may be required based on the activity type, funding source, identified financial relationships, or accreditation requirements:
- Conflict of Interest Review and Mitigation Documentation
Step 6: Develop a Budget and Funding Plan
Develop a budget that identifies anticipated expenses and revenue sources associated with the educational activity. Budget considerations may include registration fees, commercial support, sponsorships, speaker expenses, meeting space, technology platforms, educational materials, marketing, and other activity-related costs.
For activities that charge registration fees or receive external financial support, appropriate approvals, documentation, and financial processes must be established prior to opening registration or accepting funds.
